MVA Refund Policy

At Medical Virtual Assistant, we are committed to providing high-quality virtual healthcare support services. This Refund Policy explains the circumstances under which refunds may be granted.

Free Trial Program

Eligible healthcare providers may receive up to 40 hours of complimentary trial services to evaluate our solutions before making a financial commitment.

Refund Eligibility

Refund requests may be considered under the following circumstances:

  • Duplicate billing
  • Unauthorized charges
  • Billing errors caused by Medical Virtual Assistant
  • Failure to provide contracted services

All refund requests must be submitted in writing within 14 days of the disputed charge.

Non-Refundable Services

The following are generally non-refundable:

  • Completed service hours
  • Time already worked by assigned assistants
  • Setup and onboarding activities already completed
  • Customized training performed for a client

Cancellation Policy

Clients may cancel services according to their service agreement terms.

Cancellation does not automatically entitle a client to a refund for services already rendered.

Refund Processing

Approved refunds are typically processed within 7–14 business days through the original payment method.
